### Client work, from the first stage to completion

For each filing requirement, track client work, completed stages and what is missing. Deadlines, responsible people and documents help your team see how to move work forward.

Explore it in a demo

### Every client in a single record

Details, documents, deadlines and anti-money laundering for the same client sit together. Documents are requested from the client file and land in the archive on the right client.

- **The client record**: What needs you, what is waiting on them and what is already overdue, in order.

- **Document requests**: From the tax calendar, with the items already written: by email, WhatsApp or in the portal.

- **The archive**: Incoming documents already linked to the client and type, with the firm's notes.

- **Anti-money laundering**: Data collection, checks, risk assessment and periodic reviews. Professional judgement stays with the accountant.

### Signed engagements and F24 approvals, in two separate processes

Prepare quotes and engagements from templates, then follow the client’s signing process. For F24 forms, upload PDFs from your accounting software, check client matching and collect approvals. Approval does not execute the tax payment.

- **The firm's quote**: Start from a template and check items, prices, instalments and tax regime before sending the proposal.

- **The engagement letter, from the firm to the signature**: The firm prepares it from the template and signs it, the client opens the link and signs in the browser.

- **F24s from the accounting software**: Upload PDFs, check the suggested clients and prepare approval requests.

- **What you asked clients for**: Signatures, F24s and documents to upload: as a list, in columns or on the calendar.

### Payment requests and collections linked to the client

Send a payment request, let clients pay from a link and track collections. Configure confirmation steps and reminder rules in the workflow. Issuing the invoice remains a separate step.

- **The firm's payment requests**: Choose the client and items, review the pro forma and send the request with a payment link.

- **The client pays**: They open the link, pay by card, and the payment shows up at the firm without anyone recording it.

### Clients upload, sign and reply

A portal with the firm's name, where the client uploads documents, accepts the quote, signs the engagement letter and approves F24 forms. They get in from the link the firm sends, with nothing to install.

- **The client portal**: Clients see requested documents and upload them from their phones. Your firm finds them linked to the client record.

- **The quote**: The items and totals, and one click to accept it or ask for a change.

- **The engagement letter to sign**: The real engagement letter: they complete their details and sign in the browser.

- **F24 forms to approve**: They approve or reject each form after seeing it, one answer per F24.

### Collaboration, roles and AI suggestions

Internal chat and an assistant to consult your firm’s information and prepare tasks. Roles and permissions depend on the plan; check suggested actions before confirming them.

- **The assistant**: A question about the firm, an answer with real clients and the reminder already drafted.

- **Suggested actions**: Prisma looks at deadlines, engagement letters and payments and suggests what to do: you confirm or ignore.

- **The firm's chat**: Channels for clients and urgent matters, with the priority of each message.

- **Team and permissions**: Where included in your plan, configure access and permissions for each team member’s role.

- **Everything you sent**: Messages, documents and requests sent to clients, with date and time.

One process, from start to finish

## From a filing requirement to completed client work.

1. Your firm — ### Set the workflow stages — Choose the filing requirement and the clients involved. Organise the stages, from document collection to preparation and filing.

2. Your firm — ### Assign the person responsible — Each job has a client, a deadline and a responsible person. Your team sees who needs to move the next stage forward.

3. Your firm and the client — ### Collect the missing documents — Send requests and track clients’ replies. Documents and requests stay connected to their client record.

4. Your firm — ### Track progress through to completion — See which jobs are ready, which are stalled and what is missing. Update the stages as work progresses.

Prisma prepares, your firm decides.

Client reminders never go out on their own: Prisma prepares them and your firm sends them, with one click.

How it fits into your firm

## Keep your accounting software. Organise work in Prisma.

Connections and imports serve different purposes. Here is what you need to get started.

Inbox connection

### Email and certified email

Authorise Gmail, Outlook and supported certified email inboxes. You can keep using your usual email software.

Folder connection

### Drive, OneDrive or a server

Connect your firm’s folders. Computer folder sync is included in the Network plan and requires the application on a computer that stays on: we help you configure it.

File import

### Your accounting software

Accounting, financial statements and tax returns stay in your accounting software. Import client records from Excel or CSV and upload F24 forms from exported PDFs.

Firm number connection

### WhatsApp Business

Request documents and send reminders on WhatsApp too, from the firm’s number, through the official API. Documents that arrive can be suggested for filing. From the Studio Plus plan.

Import, without continuous sync

An address updated in Prisma does not automatically change in your accounting software, or vice versa. Update client record changes in both systems.

Your existing archive stays in its folders. Prisma manages documents and processes introduced during setup; any historical-record requirements are assessed in your setup plan.

Assisted setup

## Start with one process. With a person from Mastro.

Together we choose the first workflow to move into Prisma and the people to involve. You do not need to activate every process at once.

1. Before you start — ### Choose the first process — The demo starts with one of your firm’s tasks. The written proposal sets out your plan, costs and setup process.

2. Setup — ### Configure your tools — We help you connect inboxes and folders and import client records. Dates and the people involved are set out in the agreed plan.

3. First month — ### Start using the first workflow — Four short sessions to get started and review the work together. Additional processes are introduced gradually, following your firm’s plan.

Data and responsibilities

## Where data is stored and how it is processed.

AI processing is separate from document storage. The dossier describes providers, locations, processing and service terms.

### Documents and application data

Documents can stay in your firm’s folders. For documents stored by Mastro, the dossier identifies Google Cloud in Italy; the application database is in Zurich and the application runs in Belgium.

### AI processing

Google’s AI processes documents in European locations (Vertex AI), as described in the dossier. The content is not used to train models.

### Control and traceability

Recorded activities let you trace sends, signatures and document movements. Roles, providers, processing and exit terms are described in the documentation.

## Domande frequenti

**Does Prisma replace or sync with my accounting software?**

Prisma works alongside your accounting software. Client records are imported from Excel or CSV and do not sync automatically: later changes must be updated in both systems. F24 forms are uploaded from PDFs exported by your accounting software.

**What is automatic and what do I approve?**

Prisma associates information with clients and prepares suggestions and tasks. Your firm checks the data and decides which actions to take. Reminders to clients never go out on their own: Prisma prepares them and your firm sends them with one click.

**Does approving an F24 execute the payment?**

Approval collects and records the client’s response to the form. It does not execute the tax payment. Preparation, submission and payment follow your firm’s process and channels.

**How are engagement letters signed?**

The client opens a browser link and follows the service’s signing process, including identification, enrolment and a confirmation code. Advanced electronic signatures and F24 approvals are separate processes. See the dedicated page for requirements, documents and service terms.

**What does it cost and what is included?**

The proposal depends on the plan, seats and client tier. It sets out features, setup, included quantities and overage costs, for example SMS-code signatures and timestamps. It also specifies the terms of external services such as payment processing.

**What happens to my existing documents?**

Your existing archive stays in your firm’s folders. Setup covers documents and processes managed from then on; any need to reorganise or retrieve historical records is assessed before starting. Computer folder sync is available in the Network plan and requires the sync application.

**Are filing and preservation the same thing?**

Filing organises working documents and makes them easier to find. Preservation services add copies with a hash and timestamp, following the process for each document. Covered categories, duration, providers and terms are defined before setup: a filed copy and a preserved document serve different purposes.

**How do I collect payments and handle invoices?**

Your firm sends a payment request and the client pays through the connected service. Funds reach your firm’s account through Stripe. A payment request or pro forma does not replace issuing an invoice, which remains a separate step.

**Do clients need to install an app?**

The portal opens from a link and works on a phone without installing an app. Clients follow the required access and confirmation steps to upload documents, reply or sign. Your firm can help when needed.

**Can I export data if I stop using the service?**

Client records and documents can be exported in standard formats such as CSV, PDF and original files. Documents in your firm’s folders stay there. Export, termination and copy-retention arrangements are described in the service terms.
